Event Coordination and Operations

Ad hoc? Never.

The coordination workspace for event coordinators and small teams — plan it, track every detail, and run the day from one place.

Launching soon — now in field testing

Born in the field

Built inside a working events business

GoldenHours wasn't sketched in a boardroom. It was built inside our own events & catering business and is tested on real events we actually run — including a Friendsgiving we're coordinating through the app end to end right now. If a feature can't survive a real event day, it doesn't ship.

Features

One workspace for the whole event

Six tabs, zero scattered spreadsheets. Everything about an event — the plan, the people, the money, the guests — lives together and stays in sync.

Planner

Every event opens with a step-by-step playbook checklist and a live Snapshot — progress, money, and what's due next at a glance. Tasks whose dates slip past gather in an Unscheduled list, so nothing quietly falls behind. Print a client-ready Event Recap or the full Event Binder whenever you need it on paper.

Conversations

Track every stakeholder — venue, florist, DJ, caterer — with a due date on each follow-up. Anything late flags itself overdue, so nobody gets forgotten in the final week. A built-in dialer hands calls to your phone, and dictation lets you talk your notes instead of typing them.

Calendar

All your events, deadlines, and follow-ups on one calendar — drag anything to a new day to reschedule it. Export to an .ics file for your phone's calendar, or let a cloud plan keep a Google calendar in step automatically.

Budget, Billing & Contracts

Categories with estimates vs. actuals, paid tracking, a documented history of every change, and clean charts. Then bill from the same tab: invoices you can email, card-payment links through your own Stripe, and contracts clients sign in person or by link — with your standard clauses ready to drop in.

Guests

Guest parties, RSVPs, meal counts, and plus-ones in one list — import it from a spreadsheet, or send guests your own RSVP page and approve their replies as they land. Confirmed totals feed the floor plan automatically, so your seating layout never drifts from the real headcount.

Help

A getting-started guide and a searchable FAQ live right inside the app — including how to back up your events. No separate manual, no hunting for answers mid-event.

And it connects outward: with a cloud plan, QuickBooks Online mirrors your invoices and payments, Google Calendar stays in step, and API keys & webhooks link tools like Zapier. After each event, a private Post-Event Review does the debrief math for you.

Playbooks

An event checklist for every kind of event

Eighteen playbooks with phased checklists — from eight weeks out to the day after — so a first-timer plans like a veteran and a veteran never starts from a blank page.

Birthday Anniversary Party Wedding Baby Shower Retirement New Beginnings Graduation Corporate / Office Fundraiser / Gala Sporting Event Concessions Senior Birthday Gender Reveal Convention / Conference Holiday Party Family Reunion Friendsgiving Church Anniversary Custom Event

Most playbooks include subtype variants — Kids, Adult, and Milestone birthdays; eight holiday variants; Conference vs. Trade Show, and more. And the types other tools treat as afterthoughts — church anniversaries, family reunions, and Friendsgiving — are first-class playbooks here, not workarounds. And with Custom Event, you can name a type of your own — a quinceañera, a block party, a company picnic — and plan it from a general-purpose checklist.

Floor Plan

Lay out the room before anyone lifts a chair

Build the event floor plan right inside GoldenHours — a real seating layout in real feet, not a sketch on a napkin.

  • Drag and drop, in feet: round tables, banquet tables, a head table, dance floor, stage, bar, buffet, DJ booth, and doors.
  • Make it yours: rotate, duplicate, and label every piece; seat counts ride on each table.
  • A tally that checks itself: seats placed are compared against your confirmed guest count, with a clear warning when you're short.
  • Seat the people, too: chairs and whole chair rows place like tables, and the seating chart assigns real parties to real seats — auto-seat a table or arrange it by hand.
  • Print-ready: the finished plan prints in the Event Binder, ready for setup day.
Floor plan & seating chart are Tier 2 features — every paid plan starts with a 30-day trial that opens everything, so you can lay out your first room free.

The full tour in about a minute — planner snapshot and checklist, follow-ups, calendar, budget, guests, the floor plan, and day-of mode.

Day-of Coordination

Built for the day itself

Planning is only half the job. When the day arrives, GoldenHours shifts from planning software to a day-of coordination tool.

01

Offline-first

No signal at the venue? No problem. GoldenHours runs on your device, so the plan, the checklist, and the floor plan are all there when the Wi-Fi isn't.

02

Day-of mode

A focused view of today's timeline and what's left to do — big, calm, and readable at a glance, with nothing else in the way.

03

Paper that matches the plan

Print the Event Recap for your client, and the operational Event Binder — timeline, stakeholders, budget, guests, and the floor plan — for your team.

Professional Services

Want a planner, not just the software?

GoldenHours launches with people, too — the professional event planners behind the playbooks, available three ways.

A styled flat lay of event stationery — invitations, ribbon, gold scissors and hydrangeas

Consultation

Bring your event — planned in GoldenHours or not — to a working session with a professional planner. We review your checklist, budget, and timeline, and you leave with a corrected game plan and your next steps in order.

Guided planning

A planner partners with you the whole way: regular check-ins, vendor guidance, and a second set of experienced eyes on every decision — while you run the day-to-day in GoldenHours.

Full-service planning

Hand it over. A professional planner plans the event end to end and runs the day itself, while you watch it all come together in GoldenHours.

FAQ

Questions, answered straight

Is the free version really free?

Yes — that is the Local plan. On your own device GoldenHours is free forever — no account needed — with the planning basics: four playbooks (Birthday, Anniversary, Wedding, and Custom Event) and their tasks, reminders, the calendar, the guest list, printing, and backups, supported by ads, for 1 ongoing event at a time. Tier 0 ($6.99 a month, or $5.99 a month billed annually) adds the Baby Shower playbook and up to 5 ongoing events, and is still supported by ads. The cloud plans are ad-free and add all 18 playbooks and the business tools — billing, contracts, the floor plan, and connections — when you want them.

Does GoldenHours work offline?

Yes. GoldenHours is offline-first: planning, checklists, guests, and the rest of your plan's tools all work with no connection at all, so a venue with no signal on the day is no problem. If you use a cloud plan, everything syncs when you are back online.

How many events can I run at once?

It depends on the plan: Local covers 1 ongoing event at a time, and Tier 0 covers up to 5 — when an event is over, its slot opens back up. The cloud plans remove the cap entirely, with unlimited events and sync across your devices.

Can my team use it with me?

Yes — both cloud tiers include the owner plus up to 10 collaborators in the flat price, with no per-seat fees for those seats: invite your coordinators and helpers, assign owners to tasks, and everyone works from the same plan.

Which event types are covered?

Eighteen built-in playbooks: birthday, anniversary party, wedding, baby shower, retirement, new beginnings, graduation, corporate and office events, fundraiser and gala, sporting event concessions, senior birthday, gender reveal, convention and conference, holiday party, family reunion, Friendsgiving, and church anniversary, plus a Custom Event you can name yourself — most with subtype variants, and every checklist is fully editable.

Can someone just plan my event for me?

Yes — that's Professional Services, launching with the app. Choose a one-time Consultation, Guided planning with a planner alongside you, or Full-service planning where a professional planner does it all and runs the day. Contact for a quote — see Professional Services above.
